Airbnb management on the Costa del Sol: the complete guide for property owners

You've bought a vacation property on the Costa del Sol and want to rent it on Airbnb. But how do you actually manage it from the UK, the Netherlands or Germany? We work with remote owners every day - and it absolutely works, once you get the permits sorted and automate the parts that would otherwise eat your evenings.

Permits and registration

To legally rent via Airbnb in Andalusia, you need a VFT registration number (Vivienda con Fines Turísticos). You apply for this at the Junta de Andalucía. Without this number, you cannot advertise your property on Airbnb or Booking.com. Since July 2025, platforms also require an NRA number (Número de Registro de Alquiler) in every listing, and listings without one are automatically deactivated. Additionally, every guest must be registered through SES Hospedajes within 24 hours of arrival. This requirement is now actively enforced, with authorities cross-checking platform data against SES records. More about the registration requirement and enforcement timeline on the official legislation (RD 933/2021).

Physical property requirements

Your property must also meet certain physical requirements to qualify for a VFT: air conditioning, smoke detectors, a first aid kit, and guest information sheets in multiple languages. The Junta de Andalucía tourism portal lists the full requirements.

Remote property management

If you live abroad and rent out your Costa del Sol property, you have two main options: hire a local property manager or automate management with technology. A local property manager typically costs 15-25% of your gross rental income. For a property that generates €20,000 per year, that is €3,000-5,000 in management fees. They handle everything from guest communication and check-in to cleaning and minor repairs. The advantage is zero effort on your part. The disadvantage is reduced income, less control over the guest experience, and complete dependence on the manager's quality and responsiveness.

The automation alternative

With KeyLessCosta, you automate the majority of management yourself: check-in, guest registration, SES compliance, communication in the guest's language, and access code management. This gives you more control over the experience and significantly lower costs. Most of our clients combine this approach with a local cleaning partner for the physical tasks that cannot be automated.

Automating check-in

The biggest challenge with remote Airbnb management is check-in. Guests arrive at unpredictable times, often on late flights into Málaga Airport. Coordinating key handovers across time zones is stressful and expensive. A local key delivery service costs €30-50 per check-in, and even then, delays happen. With a smart lock (Nuki, Yale or August) and KeyLessCosta, guests automatically receive a unique access code that works only during their booking period. Whether they arrive at 2pm or 2am, the process is the same.

End-to-end automated workflow

No key handovers, no waiting times, no stress. And SES registration happens as part of the same workflow. One of our clients has a flat near Torremolinos beach - his guests land at Málaga Airport, take the cercanías train and walk straight in. He doesn't lift a finger. Cleaning and maintenance

Partner with a reliable local cleaning company on the Costa del Sol. This is the one aspect of Airbnb management that cannot be fully automated, so finding a dependable partner is essential. Through your KeyLessCosta dashboard, you see exactly when guests check out, so you can coordinate cleaning schedules efficiently. Some of our local partners also offer linen and toiletry packages, so you do not have to worry about restocking towels, bed sheets or bathroom supplies.

Proactive maintenance for five-star reviews

For maintenance, have a local handyman on call for minor repairs (leaking taps, broken blinds, appliance issues). Responding quickly to maintenance problems is one of the biggest factors in getting five-star reviews. We recommend doing a full property inspection between each high season, checking air conditioning units, plumbing, and appliances. A well-maintained property earns better reviews, commands higher nightly rates, and has fewer last-minute cancellations. The cost of proactive maintenance is always lower than the cost of a bad review.

Optimising your Airbnb listing

Managing your property is only half the equation. To maximise occupancy and revenue on the Costa del Sol, your Airbnb listing needs to stand out. Professional photography. Listings with professional photos receive 40% more bookings on average. Invest in a photographer who specialises in interior and real estate photography. Shoot during golden hour for warm, inviting light. Include photos of the view, the pool, the terrace, and the surrounding area.

Pricing and listing optimisation

Dynamic pricing. The Costa del Sol has strong seasonal variation. Peak summer (July-August) can command €150-250 per night, while winter months may drop to €60-100. Use a dynamic pricing tool like PriceLabs or Beyond Pricing to automatically adjust your rates based on demand, local events, and competitor pricing. Listing description. Write for the guest, not for yourself. Mention specific features that matter to travellers: walking distance to the beach, proximity to Málaga Airport, air conditioning, fast WiFi speed, and whether you offer self check-in. Highlight the convenience of keyless entry, as many guests specifically filter for this feature. Response time. Airbnb's algorithm rewards hosts who respond quickly. With automated guest communication through KeyLessCosta, your response time is effectively zero, which boosts your search ranking.

Tax and legal

As a foreign owner of a Spanish vacation property, you face several tax obligations: • IRNR (Impuesto sobre la Renta de No Residentes) - Non-resident income tax on your rental earnings. EU residents pay 19% on net income (after deductible expenses). Non-EU residents pay 24% on gross income with no deductions • IBI (Impuesto sobre Bienes Inmuebles) - Annual property tax, typically €300-1,500 depending on the property's catastral value • IVA (Impuesto sobre el Valor Añadido) - VAT may apply if you provide hotel-like services (daily cleaning, breakfast, reception) • Modelo 210 - Quarterly tax return that non-resident owners must file with the Agencia Tributaria

Navigating double taxation

Hire a tax advisor (asesor fiscal) who understands both your home country's tax system and Spanish tax law. The double taxation treaty between Spain and most European countries prevents you from being taxed twice on the same income, but the paperwork must be filed correctly. The Junta de Andalucía portal provides current information on rental regulations and licensing requirements.

Frequently asked questions

Do I need an NIE number?
Yes, as a foreign property owner in Spain, you need an NIE (Número de Identidad de Extranjero) for all legal and tax procedures. You can apply for one at a Spanish consulate in your home country or at a police station in Spain.
Can I rent my property year-round?
This varies by municipality. Some Costa del Sol towns like Málaga city have introduced restrictions on the number of rental days or on new VFT licences. Others like Estepona remain more open. Always check the latest local regulations before purchasing a property for rental purposes.
What does a VFT registration cost?
The VFT registration itself is free, but your property must meet certain requirements: air conditioning in all living spaces, smoke detectors, a first aid kit, guest information sheets, and liability insurance of at least €150,000. Check the current requirements on the Junta de Andalucía website.
